    We’ve got 2 locations, a staff of 15 therapists, doctors, and other related healthcare workers and everyone is flat-out-busy.

    Kipnis physical therapy is in a complex, metropolitan market. We treat hundreds of pts per day and its normal to bill out claims to payors in three or four states every day, and sometimes internationally. Needless to say, our billing is about as complex as it gets. Prior to Systems4PT we struggled with significant payment shortfalls. Six to eight full time billing employees – we just couldn’t keep up. At times we’ve had seven figure shortfalls. Not to mention the enormous cost for space requirements, computer stations, and file systems to house our “paper” system.

    Honestly, my first Systems4PT demo – we didn’t finish the demo. I asked them to leave. ‘Higher compliance, more collections, blah, blah… It’s the same thing you hear from every software demo. I’d heard it all and I didn’t need to hear it again.

    After that I visited a friend of mine who uses Systems4PT in his practice. His practice is half the size of mine. I had six billing employees. He has one. I had nine to ten front desk stations and fulltime employees, he had two. I would not have believed it if I hadn’t seen it with my own eyes. Systems4PT is the only practice company I’ve found who delivers what they advertise. I called them back, demo’d the system and installed it as soon as I could.

    Today, my past due accounts receivable has dropped by 90%. My collection cycle has declined from 70 days to 29 days. I’m collecting more money, and those funds are coming in consistently, every single week. This is better than we have done in the last three years. And I’m doing this with two billing employees. (Versus the six I used to use), and 4-5 front desk associates instead of 10. And, during the “dark days” of Medicare payment holds in July and August of 2008, our collections never suffered.

    Mistakes. My biggest mistake was not installing Systems4PT five years ago. I’ve spent more than what the system costs ‘trying to fix the problems myself’. Our practice is still double time busy, billings remain complex and multi state. But today – we have higher compliance, and much stronger cash flow with less administrative staff and 1/3 the billing department.

    I serve on several Boards including Hospital for Special Surgery Rehab Advisory Board, Orthonet, and others, which oversees the outpatient rehabilitation services in the greater New York City, tristate area. As part of my duties on the boards, we review practices involved with this network of services. As a group, we’ve discussed that ‘there isn’t a great EMR system out there for P.T.

My scheduler knows exactly what co-pays are due and they are collected before every patient’s visit. Oh, and did I mention that my therapists no longer have discharges that are past due? Their paper work is done by the end of the day, every day.

    As an owner of a physical therapy clinic that employs 5 physical therapists, I go home at the end of the day knowing that my clinic’s cash flow has never been better. And in these economically trying times, that is MORE than I could hope for.

  • Back on Track Physical Therapy

    A year and a half ago we couldn’t pay our bills. We thought we might have to close down. We were discussing an exit strategy for the business.

    Along comes a Systems4PT advertisement. I thought I might need to spend some money to make money. I had an old system. But it didn’t have the reports or controls that I needed to manage the business.

    It always seemed ridiculous to me that we had so many people touching our treatment/billing codes. Why duplicate the effort? I spend my life teaching patients about economy of movement, but our coding was a repetitive, heavy, energy-sapping processes, repeated umpteen different times.

    The first thing that appealed to me about Systems4PT was the integration of the front to back office. It cuts out all the middle stuff. That make me call for a demo. The demo answers all our questions and showed us how the system would keep us informed of what is going on with patients, authorizations, notes and plans of care. My partner and I are ‘people persons’. We needed help with this tech stuff.

    I did not go into physical therapy for the paper work. Systems4PT points out what work needs to be done, or you don’t get paid. It’s very tangible. ‘The little green happy face’.

    We were in absolutely no position to buy this system. Systems4PT gave us the opportunity to finance 100%. I was shocked that the financing was approved, because of the financial shape we were int.

    Josh did the on site installation. Josh was amazing… pretty dry, but fantastic. We had a very nice, comfortable week with Josh. The system came together exactly as Systems4PT promised. It totally delivered on what they said. Josh showed us what to do.

    Our old system did electronic billing When I called the old system and said, ‘I need to make some changes to keep up with the industry’ they sent a sheet on how to change numbers and ‘hook it up’. I work on the human body, not computers. I can’t set up ERA’s, or billing submission. I just want to get paid ! With Systems4PT, they set up the billing. I don’t know how.. I don’t care how. All I know is, now I get paid.

    So, we set up system. In 10 days, we had very few billable patients. The system told us. Then it told us we were missing authorizations, missing plans of care, reports weren’t signed … on and on. For years I had been treating a good number of patients for free without being aware why. Our old system was no value to us.

    In follow up training we got chided about our control lists being too long. We took our gentle beating from the trainer. Today that list has been cut in half. We are in control.

    Systems4PT is the salvation of Back on Track Physical Therapy. This system absolutely saved my practice.

    Systems4PT is software. But what I bought was the promise of customer service. And that promise has been kept. When I’ve called other help desks I get a recording. I have to send an email. I am promised a response within 24 or 48 hours – and that is sometimes just an email. If I do get a person I have to explain who we are. To the other companies we’ve worked with, Back on Track Physical Therapy is a number.

    When we call Systems4PT we talk to a person….Who knows us. Who knows our name. Sometimes even we can speak with Josh!. I want to be ale to pick up the phone and talk to a human. That’s what happens with Systems4PT. It’s awesome.

    Well, Monday we treated 84 patients. Every single one of them was billable. Every single one of them was acknowledged as accepted by the payors. I have assurance that my 84 DOS will be paid, as I do with all of my treatments.

    I’ve seen my fastest payment in 7 days. One of my biggest bugaboos was that we never really had a grasp of what, or how to bill Medicare. Now we are consistently paid every time. I’m like a pig in the mud.

  • Darien Physical Therapy

    Darien Physical Therapy has been using Systems4PT since December 2004. Prior to that we documented by hand and had outsourced billing. Overall, I can tell you that the system has delivered what the company said it would.

    Since using Systems4PT our front desk is much less cluttered, as we no longer use charts. The front desk staff is also much more efficient and effective. Filing is now non-existent. The front desk staff spends their time acting on compliance and payor visit issues proactively vs. reacting after we get surprised. Our compliance is much higher using Systems4PT compared with before.

    We have one location and eight therapists. Training went well, surprisingly well as some of our staff did not have much experience with computers. Our documentation efficiencies have improved. Using Systems4PT our notes are signed more quickly compared to when we documented by hand. And progress note, discharge note compliance are much tighter.

    We have been very pleased with collections using Systems4PT. We had previously outsourced billing. The training was very good. Using Systems4PT we collect more per claim than our billing service collected, and in a shorter amount of time. We treat roughly 2,000 patients per month. My Office Manager handles our billing and collections as well as numerous front desk and Management tasks. The system is extremely efficient.

    Three months after we installed the system I asked my accountant to audit expenses and collections. His findings were that treatments were slightly up, expenses were down, (we were no longer paying for the billing service), collections per claim were higher and payments were coming in faster. My accountant told me that after three months using Systems4PT we had saved enough money to pay for the system! He called me a genius. I will say, the system is not automatic. You have to follow the billing procedures, as trained. But if you do, collections will be strong.

    Responsiveness has been very good. Systems4PT has responded to a number of our ideas, others are still pending. I like the company’s orientation toward constant improvement. They reacted ahead of time when it came to Medicare changes, such as the cap in 2006. When system issues or hardware issues have come up, support has been very good and our treatment flow has never been interrupted. I like that the help desk answers the phone with real people and that they have billing experts on the help desk.

    Systems4PT was good for Darien Physical Therapy day one, and has only gotten better since then. The system has let me focus on my practice, because I know that Systems4PT is focusing on upcoming industry changes and further system innovation. I recommend Systems4PT for your practice.

    Systems4PT is great! The ease of use and the ability to trim staff, documentation time and collection time is accurate. The staff ease of use depends on their proficiency with the computer and ability to dictate. If the have dictated before then they will do better then if they have not dictated. If they are used to paper documentation then you may have some hold-outs that initially feel like it takes more time.

    We have had the system for over 3 years and love it. They have always been available to speak to if you have problems, need help, have suggestions to make the system better, etc. They also stay on top of the changes in reimbursement and try to adjust the system to coincide with the updates.

    As I said earlier we love the system and it has made our practice better and our lives easier.

    I own a practice hat has used Systems4PT since May 2006 and we have been happy with our experience. The system is comprehensive and continues to improve with each update at no increase in cost. Documentation is good, a little faster than paper. Readability is much better and I am not sacrificing clinic space for chart storage.

    Our company started Systems4PT approximately one year ago. Prior to Systems4PT, we outsourced our billing. Our collections have significantly improved with Systems4PT. We also have saved about $40K per year not having to pay the 7% fee to the previous billing company we were using.

    None of our office staff had any billing or collections experience, but after an “eye-opening” and accurate initial presentation of the system, each one of them felt confident that they could learn and operate the system. The initial week long training was outstanding and very informative. Systems4PT provided teachers that walked us through the process step-by-step. (including scheduling, billing, collections, voice recognition documentation, etc).

    This system is AWESOME! I couldn’t imagine working with anything else now--- the therapists love it – imagine, you speak and it types. The voice recognition is accurate, quick, and easy to learn. The system won’t allow a note to be signed without prior insurance authorization. This has really helped our collections. Instead of accidentally treating someone 5 visits over authorization and not getting paid, we now can’t even sign the note! It has so many safeguards. Our notes are finished faster and are not “cookie-cutter” notes like so many point-and –click systems are famous for. The patient visit is automatically billed the next morning once the note is signed.

    It’s the best system I have seen for a manager who wants to make sure that the staff therapists are keeping up with the notes/re-evaluations/discharges. It also is unbeatable regarding allowing the manager to oversee the front-desk co-pays, preauthorizations, etc.

    The reports are excellent and the support and continued assistance we have gotten from the “help-desk” and remote access onto our system has been exceptional.

    Even though the system itself is an A+ in my opinion, the support and care that has been shown us by the President of the company, Joe Montgomery, far surpasses any expectations. Joe, our billing manager, and I have developed a very positive and trusting relationship. I did not know Joe before we acquired the system. When I have had concerns, he has called my cell phone and has had back-and-forth conversations /telephone calls with me after hours on Friday nights and throughout weekends. This is not what you would expect from the President of a large successful company. He is very down to earth and has made me realize that he sincerely cares about our company’s well-being. He actually has been someone for me to consult regarding issues that don’t even deal with the system.

    We operate a large clinic (12 therapists) and I have been part of the Systems4 ‘family’ since 2—3. I must say that the investment into converting from paper to computers was challenging, but worth every minute and dollar.

    The software is pretty simple and works like a basic SOAP note. I have used other systems in the past and one of the things I like best about this system is that I can chart exactly what I do with the client.

    I have 2 new grad PT’s who have taken to the system within 2 to 3 weeks with minimal questions or difficulty.

    Collections are excellent, timely and payors verify acceptances within 24 hours of electronic submissions.

    As I don’t type well or fast, I particularly love the voice recognition system. There are many things you can do to continually make it all more efficient. My documentation is constantly improving, in terms of compliance, and efficiency.

    The MD’s are very happy with our change in documentation, especially because they can READ all the notes.

    I’ve used Medix and AdvantX and Healthsouth’s HCAP system. This is by far the best. Keep in mind nothing is perfect. There are always adjustments to be made.

    We’ve had good tech support and several upgrades over the past few years to remain up to date with coding changes and Medicare regulations.

    This year we reorganized our network and I took a more significant ownership position. As part of the reorganization we desperately needed to update our billing office. The concept of ‘going paperless’ was obviously attractive, but honestly I never thought it was practical or truly possible. After extensively researching every available system on the market I chose Systems4PT. As part of my research I visited Systems4’s help desk and met their management. I did every bit of homework that I could think of.

    As promised, Systems4PT was a true installation partner. They were very involved with our credentialing and system set up. Honestly, we had no idea how to convert a system. Systems4PT spent one week at each of our nine locations. To no one’s surprise there were installation issues (networking, schedule coordination, etc.) but through the process Systems4 handled the installation and we treated the patients. We could never have done this alone.

    Having used the System, I have several comments:

    1. In everyday use, the system is even better than the demo. Sincerely. To actually see the system work, the busywork is just gone, employees are finally free to do their jobs and we are paperless! This system has performed better than advertised.
    2. Because of these efficiencies I have been able to lower my overhead.
    3. Collections have notably increased and my collection cycle is half of what it was a year ago. And with lower collection costs!
    4. In the first four months of use, overhead savings plus increased collections amounted to more than what we paid for our system. You kind of hear that and say, ‘yea, right’. Each month, collections are ahead of where we had been a year ago, with a ton less work.
    5. The best single word I’d use to describe the Systems4PT company is ‘Partner’. They act like my automation partner, which is exactly what I needed. Sure things come up, but Systems4PT’s ‘got my back’, I have zero doubt.

    A year ago I was struggling with rising levels of chaos and declining profitability. Because today ProCare is under control and profitable, we are once again able to focus on quality of service, compliance and business expansion.

    Personally, I have evolved from an 80 hour per week executive who seemed to be always one step behind, to a ‘dinner with my family’ success.
